On Behalf of the entire Bayside Travel team, welcome to our family of travelers. Since 1991 we’ve been helping our clients experience the world and create lifelong memories.
Having started in the travel industry years ago, I have seen and experienced destinations I could only imagine. I’ve had the great fortune to see so much of this big beautiful world we live in. These include visits to the crystal clear waters of many Caribbean islands. I have heli-hiked in the Bugaboo mountains in Canada. I have sat in a French Bistro near the Eiffel Tower enjoying a dish of Crème Brulee. I’ve transited the Panama Canal, sailed on over 30 river and ocean cruises. I have experienced so much in Europe…Prague, the French Riviera, Budapest, Vienna, Oberammergau, Ireland, England, Italy and Croatia. That list goes on. I am truly grateful to be able to call myself a travel advisor and to bring my experiences to you!

Our Process
- Complimentary Initial Consultation
- Meet with an advisor to discuss your travel goals, preferences and the specific parameters of your trip. Learn what services Bayside Travel can offer and receive a fee quote for travel planning services for this particular trip.
- Complete or update Traveler Profile for all individuals traveling on this trip, such as address and contact information.
- Receive a written summary recap of the initial consultation and fee quote
- Sign and return Service Agreement
- Sign and return credit card authorization form with payment of $200* towards Travel Planning Consultation and Initiation Fee quoted. (Minimum required for Advisor to begin work. This amount could be higher based upon the scope of the services.) Fees may also be paid by cash or check.
- Receive travel proposal with options, dates and prices from Bayside Travel Advisor via phone, in-person appointment or email as preferred by client.
- Discuss options, make selections and/or request amendments to itinerary. Advisor will make amendments as necessary (within scope of original consultation) until client approves itinerary.
- Make selection / approve itinerary
- Discuss benefits of travel protection. Receive information & quote. Sign & return document either electing to purchase or decline travel protection.
- Make deposit payment (procedure varies by supplier). Note that prices and availability can change until deposit is made. Once deposit is made client will be informed of final payment due date and amount.
- Work with Advisor to finalize all additional details of trip (transportation, additional excursions, etc.)
- Make final payment (Your advisor will contact you. If you will be unavailable the week that your final payment is due, please contact your Advisor to make payment arrangements ahead of time.)
- Approximately 2 weeks prior to your trip, your consultant will prepare your final travel documents. You may choose to pick up your documents in person, have them emailed to you when possible or we will ship them to you directly (Shipping fees may apply.)
- Have a wonderful trip! Remember, we’re here to support you while you’re traveling.
- Your consultant will follow up with you upon your return.
Initial Consultation
The first step is an in-person or phone consultation during which we will get to know you and your travel style. We’ll ask a lot of questions! During the consultation we can determine if we will be a good fit for your travel planning needs. Once we understand you and your travel goals we’ll explain our services and travel planning fees, including a fee quote for this trip. Since no two trips are the same, fees vary. It is not possible for us to offer a quote for our services until we understand the scope of the trip we’re planning. Fees for custom travel begin at $200.
To move forward we will present you with our Service Agreement. We require the Initial Consultation and Planning Fee in order for us to begin work on your travel planning.
We Go to Work for You
Once you have contracted our services we’ll begin creating a customized itinerary based on the travel goals discussed during the initial consultation. We’ll present the proposed itinerary for your review and approval. We’ll make amendments as necessary until we have an itinerary that fulfills your travel wishes, often this process includes several drafts. When you approve the itinerary, a deposit will be required in order to secure travel arrangements. Please be aware that availability and price can change until the deposit is made.
Travel Arrangements Secured
After the required deposit is received, we’ll secure and confirm arrangements. We’ll make recommendations specific to your trip and your preferences. Whether it’s dining reservations, spa appointments, private guides and drivers, museum tours, adventurous excursions, villa stocking or nanny services, we take care of all of the details and provide concierge level services for you. At the time of your deposit you will be notified of final payment date and amount.
Ready to Travel
A few weeks prior to departure we will present you with your final travel documents, including the details of all reservations and arrangements that have been made. You can have your documents emailed, you can pick them up in person or mailed to you via USPS.
During and After Travel
We’re here to support you while you are traveling. You can communicate with your consultant by emailing them or calling the agency. We monitor both. Travel insurance is a tremendous asset to help in case of emergencies and most tours also have 24/7 support. You will never be left alone to handle the unexpected. Upon your return, we will follow up with you to get your feedback and to discuss how we may assist you with future travel plans.

Consulting Services
Our services are assessed on a case-by-case basis to reflect the scope of the trip you are trying to plan. To determine the services for your specific needs, please schedule a free preliminary consultation. The services listed below covers the time involved in private consultation, research, price comparisons, reservations, confirmation, document preparation, itinerary presentation and anything else you may request.
Initial consultation (20-30 minutes) Complimentary
Custom Travel Planning Consultation and Initiation $200.00+
Expedited Travel Planning (within 30 days of departure) $50.00+
Hourly rate for multiple revisions, additional research, concierge services $75.00
Domestic Airline Ticketing $50.00 p/p
International Airline Ticketing (all tickets that require a passport) $100.00 p/p
Hotel Consultation $25.00 per res.
Car Consultation $25.00 per res.
Tour Processing $35.00 per person
Cruise Processing $35.00 per person
Trip Cancellation 15% of trip cost
Passport/Visa assistance $50.00 per form
If a passport is required, it is international airline ticket. Bayside Travel charges a $75 per person revision fee and a 15% cancellation fee. The cancellation fee is based on the total trip cost.
Fees are charged once the Credit Card Authorization Form is received and planning/consulting begins.
Travel Documents are available 2 weeks prior to departure and the trip is paid in full. Availability and price fluctuates greatly, and often. Quoted prices are applicable only to the date and time they are received. Additional fees may be assessed for quotes in international currency, so to cover the cost of fluctuating exchange rates and credit card issuer fees. Bayside Travel is not liable for cancellation fees or non-refundable trip costs. Overnight shipping fees will be billed to the client if applicable. Travel insurance is highly recommended to protect you and your investment. Prices are not guaranteed until payment has been processed.
